Cancellation policy

Essential Cycles – Cancellation & Refund Policy

We know life happens, and we'll always do our best to work with you. That said, our guides, coaches, and operations require advance planning, so we ask that you review the following before booking. All cancellation requests must be submitted in writing via email to [email].

Bike Rentals

We get it — plans change! Cancellations or reschedules made more than 24 hours in advance are subject to a $10 administration fee. For cancellations within 24 hours of your rental, we're unable to offer a refund, but we're happy to help you find another date that works. Bookings can be transferred to a friend at no charge with 24 hours' notice.

Private Coaching (Half Day or Less)

We appreciate as much notice as possible so we can offer your spot to someone on the waitlist.

  • More than 48 hours out: Full refund minus a $25 administration fee
  • 24–48 hours out: 50% refund, or a credit valid for 6 months — your choice
  • Less than 24 hours / No-show: Unfortunately we're unable to offer a refund or credit at this stage

Lessons, Group Coaching & Development Programs

Our group programs — including clinics, group lessons, and the Untamed Development Team — require committed participant numbers to run, so we need a little more lead time than private sessions. Spots are limited and in high demand, and a lot of planning goes into making these programs great for everyone involved.

  • More than 14 days out: Full refund minus a $35 administration fee
  • 7–14 days out: 50% refund, or a transferable credit valid for 12 months — your choice
  • Less than 7 days / No-show: We're unable to issue a refund at this stage, but please reach out — we'll always try to find a solution where we can

For multi-week programs like Untamed, cancellations received before the program start date follow the above schedule. After the first session, registrations are non-refundable. Spot transfers to another rider require prior written approval from Essential Cycles.

Guided Tours – Single Day

  • More than 7 days out: Full refund minus a $35 administration fee
  • 48 hours – 7 days out: 50% refund, or a transferable credit valid for 12 months
  • Less than 48 hours / No-show: We're unable to issue a refund at this stage, but please reach out — we'll always try to find a solution where we can

Guided Tours – Multi-Day & Destination Tours

Multi-day tours involve significant logistics, guide commitments, and third-party bookings, so we need a little more lead time. We strongly recommend purchasing travel or event cancellation insurance for these bookings.

  • More than 60 days out: Full refund minus a $75 administration fee
  • 30–60 days out: 50% refund; remaining balance may be held as a credit at Essential Cycles' discretion
  • 14–29 days out: 25% refund only
  • Less than 14 days out: We're unable to offer a refund or credit at this stage

Our Commitment to You

If Essential Cycles ever needs to cancel or reschedule due to weather, trail conditions, guide availability, or anything else outside our control, you'll always have the choice of a full credit or full refund — no hassle. We never want a cancellation to leave you out of pocket when it's on our end.
